At Deeptrace we take the privacy of people who visit our website and get in touch with us seriously. This policy explains the scope in which your personal data is collected, processed and protected, and covers all pages under the deeptracerd.com domain. Data we collect
We collect only the data needed to handle your request. There is no account creation, membership or payment on the site.
- What you share: the full name, company, job title, company size, email, phone, subject and message you enter in the contact, meeting, brochure and careers forms, and the CV you upload with a job application.
- Technical data collected automatically: IP address, browser and device information, pages visited, referring address and cookie identifiers.
Although technical data does not identify you on its own, it counts as personal data under the applicable legislation and is subject to the principles in this policy.
How we use the data
We use the data we collect to answer your enquiries, point you to the right solution, assess job applications, keep the site secure, improve the quality of our service and meet our legal obligations. We use your data for promotion and marketing only if you have given explicit consent; where we send commercial electronic messages, every message includes a way to unsubscribe.
We do not use your data for purposes other than the one for which you provided it, and we do not take decisions that produce adverse effects for you solely through automated analysis.
Sharing
We do not sell or rent your personal data and we do not share it with third parties for advertising. Sharing happens only in these cases:
- Our service providers: hosting and security of the site (Cloudflare), visit measurement if you consent (Google Analytics), embedded video (youtube-nocookie.com) and the office map on the contact page (Google Maps). These providers may host their servers outside Türkiye.
- Our professional advisers: our lawyers and financial advisers in the event of a legal dispute or an audit.
- Authorised bodies: public institutions and judicial or administrative authorities entitled by law to request information.
Sharing with service providers takes place only on condition that they adhere to the principles in this policy and to confidentiality undertakings. You can find which data is transferred to which provider and on what legal ground in the transfer table in the Privacy notice (KVKK).
Retention periods
We keep your data for as long as the purpose of processing requires and for the limitation periods in the legislation; at the end of that period we delete, destroy or anonymise it. Contact and meeting requests are kept for 2 years, job applications for 1 year and server security logs for at most 12 months. The full table of periods is in the Privacy notice (KVKK).
Data security
We apply administrative and technical measures to protect your data against unauthorised access, loss and misuse: encrypted communication over HTTPS across the site, bot verification on forms, up-to-date software and dependencies, access rights limited to team members who need them for their role, and access logging.
If we determine that your personal data has been unlawfully obtained by others, we will notify you and the Personal Data Protection Board as soon as possible, in line with Article 12 of the KVKK.
Cookies
Apart from strictly necessary cookies, cookies are placed only with your consent. The list of cookies used, their durations and how to withdraw your consent are on the Cookie policy page.
Children's data
Our site is a corporate information site and is not aimed at children. We do not knowingly collect personal data from anyone under eighteen; if we learn that such data has been sent to us, we delete it without delay.
Your rights and how to apply
Under Article 11 of the KVKK you have the right to access your data, request information, request correction, deletion or destruction, learn the third parties it was transferred to, object to processing and claim compensation for damage. You can write to info@deeptracerd.com with your requests; your application is concluded within thirty days at the latest.
Changes to this policy
This policy may be updated in line with changes in legislation or in our practices. The current version is always published on this page; the date at the top shows when it was last updated.
